Getting your child into a Kendriya Vidyalaya is a priority for many parents across India. The admission process for the 2026-27 session will begin in March 2026, and having all your documents ready beforehand makes the application smooth and stress-free.
Let me walk you through everything you need to know about the documents required for KVS admission. Trust me, getting this right the first time saves a lot of headache later.
When Does KVS Admission Start?
Based on last year's schedule, Kendriya Vidyalaya Sangathan released the admission notification on 5 March and kept the application window open from 7 March to 21 March 2025. The 2026-27 session will likely follow a similar timeline.
Class 1 admissions happen online through the official portal, while admissions for classes 2 to 12 (except class 11) are conducted offline. No entrance test is required for classes 1 to 8. The selection happens through a lottery system combined with priority categories.
Essential Documents for KVS Admission 2026
Here is the complete list of documents you need to keep ready:
1. Birth Certificate
This is your primary proof of age. The certificate should be issued by an authorized body such as a municipal corporation, notified area council, village panchayat, or military hospital.
For class 1 admission, the birth certificate is mandatory. For other classes, the date of birth mentioned in the Transfer Certificate from a state-recognized school will be accepted.
The original birth certificate will be returned to you after verification.
2. Passport Size Photographs
Keep recent passport-sized photos of your child ready. You will need these for the application form and admission process.
3. Aadhaar Card
Both the parent's and child's Aadhaar cards are required. This serves as identity and address proof.
4. Residence Proof
Documents like Aadhaar card, ration card, electricity bill, or any other government-issued address proof work fine here.
5. Caste Certificate (If Applicable)
If your child belongs to SC, ST, or OBC (Non-Creamy Layer), you need a caste certificate issued by the competent authority of the state or central government.
Initially, if your child's certificate is not ready, you can submit the parent's certificate. However, you must submit the child's certificate within three months of admission.
6. EWS or BPL Certificate
For children from economically weaker sections or families below the poverty line, the relevant certificate from the appropriate government authority is required.
7. Single Girl Child Affidavit
If you are applying under the single girl child category, you need to submit an affidavit declaring the same.
8. Service Certificate
For government employees, a service certificate is needed. This certificate should show the number of transfers in the last seven years, along with the name, designation, and signature of the office head with an official stamp.
9. Retirement Certificate
For retired defense personnel, a retirement certificate is required to claim priority under this category.
10. Transfer Certificate
For admissions to classes 2 and above, you need the Transfer Certificate from the previous school. However, for classes up to 8, admission can be granted without a TC if the child is otherwise eligible and has a government-issued birth certificate.
11. Certificate for Children with Special Needs
If your child has special needs, you need a certificate from a civil surgeon, rehabilitation center, or any competent authority designated by the government.
If the disability is clearly visible to the principal, the child may be admitted provisionally. You can submit the certificate later from the appropriate authority.
12. Proof of Relationship with Grandparents
In cases where the child lives with grandparents, proof of the relationship between the child's parents and grandparents is needed.
Important Points to Remember
Just registering online does not guarantee admission. You still need to go through the selection process.
Incomplete application forms are usually rejected. However, if seats remain vacant, the principal may use discretion to allow completion of forms later.
Any admission granted based on false certificates will be cancelled immediately by the principal. No appeal against such a decision will be entertained.
For class 1, registration happens online. In schools with double shifts, each shift is treated as a separate school, and shifting between them is not allowed.
If multiple applications are submitted for the same child in the same school, only the last application will be considered valid.
For categories I, II, III, and IV, the principal will verify the authenticity of service certificates submitted by parents.
All documents submitted by parents of provisionally selected children will be checked carefully to ensure authenticity and validity.
If a child is denied admission, parents will be given a written explanation with clear reasons. This protects everyone in case of future disputes.
The KVS Admission Process in Brief
Visit the official KVS online admission portal at kvsonlineadmission.kvs.gov.in and fill out the admission form.
After the registration deadline, download the admission list when it is published.
If your child is selected, submit the required documents at the respective Kendriya Vidyalaya.
Pay the admission fee and your child can start attending classes.
Remember, there is no fee for filling out the KVS online admission form.
A Quick Word on Documents
I know gathering documents can feel like a chore. But doing it early gives you peace of mind. Make copies of everything. Keep originals and photocopies in separate folders. Label them clearly.
Double-check that all certificates are issued by the correct authorities. A small mistake in a certificate can delay or even cancel admission. If any certificate is pending, start the process now rather than waiting until the last minute.
The KVS admission system is fair and transparent. Having your documents in order ensures your child gets a fair shot at admission without unnecessary delays or complications.
Keep checking the official KVS website at kvsangathan.nic.in for the latest updates and notifications regarding admission dates and procedures for the 2026-27 session.
